- =information to. An input form will then be offered for you to enter the

- =Unlike other programs that require you to create a database for each label
- =size you wish to use, Q_LABELS was designed to create a database and print
- =the contents of it to any label size you want to use. Depending on your
- =hard disk capacity you can create an unlimited number of databases with
- =each database holding more than 1,000,000 records.
- =
- =When you are through working with any database and have made any changes,
- =adding, editing, erasing or restoring any records, you must re-index the
- =database before you leave the label form. You will be prompted when
- =exiting the form to ~index~ or you can ~index~ the current database at any
- =time by pressing the keys: ~ALT+I~. The index file for a particular
- =database is where Q_LABELS gets its information on how to sort and find
- =the records for you.

- =Enter text in the label form using any number of lines that you wish.
- =The number of lines that will print and the number of characters on each
- =will depend upon the size of labels you are using and whether you are using
- =~Condensed~ mode for printing. An example would be: for 3 1/2 by 15/16~
- =labels - the label form will show 3 1/2~ by 15/16~ by 1. This particular
- =label will print up to 5 lines of text, each line can hold (maximum) 35
- =characters in regular mode, 60 in condensed mode and 17 in double wide
- =mode. Use the remaining lines that don't print to keep notes in.

- =In addition you can define up to 20 custom label sizes. See ~Help~ from

- = A label size followed by (L) denotes that this is a laser or
- = inkjet definition. These labels are found on 8½ x 11 sheets.
- = The size ( 2 5/8~ by 1~ by 3 across (L) ) is three labels across
- = and there are 10 rows of these on a sheet. If you print only 1
- = of these then the first "row" will print. Printing 10 or
- = "tagging" 10 individual records and printing 1 of each will print
- = the entire sheet. See "F7" print dialogue box. Printer
- = companies do not recommend putting a label sheet into the printer
- = more than once. It is recommended that you fill the sheet the
- = first time.

- = These are the maximum number of characters that can be printed
- = on each line. If you type in your text starting on the first place
- = of each line then you won't be leaving a margin. Type your text
- = like you want it to print. The main menu ~Tools~ section has a
- = routine that will help you line your labels up if needed (for
- = dot matrix printers only).

- =
- = Note the following special keys and their functions:
- =
- =F1 - Shows this window.
- =
- =F2 - ~Save~. Saves the current record in the database. If you are
- = editing a record then this record is replaced in the database.
- = If you are ~Adding~ then this record will be appended to the end
- = of the database. You ~must~ choose ~Index~ so that new records
- = will be sorted correctly the next time you use this database.
- = You can wait to do this when you ~exit~ the label form or at any
- = time by pressing the keys ~Alt+I~.
- =
- =F3 - Shows the current label size with your text in it. If your
- = monitor is an EGA or VGA then your special styles will show.
- = Special styles (Double Wide, etc) can alter where your text
- = actually prints. This viewer is just to give you an idea of
- = what your label might look like. It is recommended that before
- = printing multiple labels, that you print only one and make sure
- = it prints on your printer like you intended.
- =
- =F4 - Edit the label record.
- =
- =F5 -~Add~ mode. This positions you in the label form and erases the
- = current contents (screen only). After editing, choose ~Save~ to
- = make your changes permanent. This will add a new record to the
- = database.
- =
- =F7 -~Print Dialogue Box~. This box contains the settings you will be
- = using to print with. Label size, number of labels (same record),
- = print current record, print all records in the database, print a
- = postnet barcode (see barcodes below), and Save are all selected
- = here. To temporarily use any of these options, press F7, change
- = the option and choose ~print~ or ~print all~. If you wish to use
- = the same label size and/or other options, then after choosing them
- = select the ~Save~ button. These options will be saved to file and
- = will be the ~default~ options every time you open a particular
- = database. This creates the ~.INF~ file. See "Creating a Database"
- = below. Another feature of this box is the button that looks like
- = this: [ Tag ]. Selecting this button will list the records in
- = the database. You can "tag" (mark) records for printing. Each
- = record will be printed the number of times that are set in this
- = box. Once printing starts then pressing the spacebar will pause
- = printing and prompt you to continue or exit.

- =F8 - This allows you to print your label directly onto index, post
- = cards or envelopes. A form will pop up for you to set the
- = printing options.
- =
- =F9 - Cancel edit mode. Unless you have ~saved~ the record then no
- = changes made will be permanent.
- =
- =F10 - Creates a new database - You will be prompted for a file name.
- = * See ~Creating a New Database~ below.
- =
- =Alt+B -~BackUp~. Backs up the current open database to a floppy disk
- = drive specified by you. You will be prompted for the disk drive
- = letter.
- =
- =Alt+D - Delete the current record from the database. Deleted records are
- = marked as ~inactive~ in the index file and are not shown, they
- = are only permanently erased when you choose to ~Rebuild~ the
- = database.
- =
- =Alt+I -~Index~ Pressing this key combination allows you to re-index or
- = completely rebuild the database. You must do one or the other
- = after making any changes, this is how Q_LABELS keeps track of your
- = records. Choosing to ~rebuild~ will make any deleted records
- = permanent. Indexing only marks the deleted records but does not
- = remove them.

- =Alt+K - A list of all the keys needed in the label form.
- =
- =Alt+O - Toggle the ruler On/Off.
- =
- =Alt+P - Quick Print. Prints the current record (one time) with the
- = settings in the ~Print Dialogue Box~.
- =
- =Alt+R - Repeats the text into the current field that was in the same field
- = in the previous record. This can save time when several records
- = must contain some of the same information.

- =Alt+S - Search. Choose "Find" or "Repeat". If you choose "Find" you
- = will be prompted for the "Text" to search for. It has to be text
- = that is in the "indexed field". If found then this record will
- = become the active record. Once you have entered text to search
- = for, you can choose "Repeat" to find any more text that meets the
- = same requirements. If you have indexed on the zip code field then
- = you must enter a zip code to search for.

- =Alt+U - Restore any deleted record. If any deleted records exist they
- = will be shown in a list. You need to ~tag~ any records you want
- = to have restored. High light the record you wish to restore and
- = then press the upper case ~T~ key, the ~spacebar~ or the ~enter~
- = key to ~tag~ the record. Tag as many as you like and then press
- = the ~D~ key or mouse click on the ~Undelete~ button.

- =Alt+X - Returns you to the main menu.
- =
- =Ctrl+E - Erases the contents of any line that the cursor is on (screen
- = only).

- =Ctrl + F3 - Allows selecting a record from a list. Use the Up/Down,
- = PageUp, PageDown, Home, or End keys to move to different
- = records. When you have high lighted the record you need,
- = press the ENTER key to make that the active record for printing
- = or editing. Press the ESC key to close the list.

- =Shift+F3 - Display the popup calendar. Use the arrow keys to move to a
- = date and press ENTER, the date will appear in your text at the
- = current cursor position.

- =PageUp - Go to the previous record in the database.

- =Ctrl+PageUp - Go to the first record in the database.

- =Insert - Toggle from insert mode (default) to overwrite mode.
- = Overwrite mode replaces the current character with the
- = new one typed.

- =To the right of each line in the label form is a field which has the word
- =~Normal~ followed by these characters: The first two characters
- =are called ~spinners~ and by clicking on one or the other you can scroll
- =thru a list which will set this line to print in normal, condensed,
- =italics, or double wide style. The arrow simply means this field contains
- =more than one selection. These settings are not saved from one session to
- =another. All fields which look like this can be accessed in the same way.
- =If your are printing with a laser printer then note that selecting double
- =wide will also print extra high. Leave a blank line before and after when
- =using this style.

- = ▄ Creating a New Database

- =When you first enter the label input form (if you haven't opened an
- =existing database) you will be positioned on the ~Edit~ button. Use this
- =button by clicking it with a mouse, pressing the F4 key or the ENTER
- =key. The cursor will now move to the first line of the label form.
- =If all you want is to print a quick label you could do that now by entering
- =information for the record and pressing the keys: ~Alt+P~.

- =If you wish to create a new database then:
- =
- = 1) Press the "F10" key and follow the prompts.
- = 2) Press "F5" key or click on the "Add" button.
- = This clears the input form and prepares to add the first
- = record.
- = 3) Type in the first record
- = 4) Press the "F2" key or click on the "Save" button. Answer

- =Use the following format for naming the database.

- =DOS will only accept certain characters for filenames. For a complete
- =listing check your DOS reference manual. If you enter an illegal character
- =DOS will report an error to this program. To be safe follow these rules.

- =1) A filename can be up to 8 characters long.
- =2) You can use the letters A to Z and/or the numbers 0 to 9.
- =3) Other acceptable characters are $ % ~ ^ _ - ! # @ { } ( ) &
- =4) An extension will be added to all filenames. Do not try to add one!

- = An extension of a filename is the period followed by three letters.
- =
- =Example: MYDATA.DBF The .DBF is an extension and is what will be
- = added for you. All you would need to do is type in MYDATA
- = Do not use or end your filename with a period, this character
- = is part of the extension. All databases will have three files,
- = MYDATA.DBF, MYDATA.GDX & MYDATA.INF. The ~.DBF~ file will
- = contain the database records, the ~.GDX~ file is the index
- = file that Q_LABELS uses to ~sort~ the database and the ~.INF~
- = file contains the label size, field to sort on, etc. This
- = can be changed at any time while in the label input form.

- =The ~database~ and ~Index~ file will be created at this time. When you have
- =added all the records for this session that you need you must re-index the
- =database so that Q_LABELS knows where all of the records are! Do this by
- =clicking on the ~Index~ button or by pressing the Alt+I keys.

- = ▄ Envelopes / Post Cards / Index Cards

- =You can print up to six lines in the addressee section of envelopes, post
- =cards and index cards. Special ~styles~ will not print in this section.

- =Post cards and Index cards will not print the ~Special Greeting~ line. You
- =have the option of printing or not printing your return address on them.
- =Using this option with a laser printer is not supported.

- =Envelope printing with a laser printer is supported, the envelope will
- =print in landscape mode as opposed to portrait mode with a dot matrix.

- =Legal size envelopes - Prints a return address with optional ~Special
- =Greeting~ line. Up to 50 characters per line in the addressee section.

- =Note: Using more than 40 characters on a line in the addressee portion

- = ~ZIP + 4~ is a registered trademark of the United States Postal Service.

- =From the label input form you may enter a FULL ZIP + 4 zip code in the last
- =input field of the form. It is clearly marked ~ZIP~. A full ZIP code
- =code consists of all 9 numbers. For the U.S. Postal Service to make best
- =use of their new automated bar code sorters you should use all 9 numbers.
- =If this field contains a valid ZIP code and the ~Barcode Option~ in the
- =~Print Dialogue Box~ is checked to ~ON~ then a postnet barcode will print
- =on line 1 of your labels and the last line of your label will be left off.
- =If you leave this field blank or the ~Barcode Option~ is checked to ~OFF~
- =then the normal text in the last line will print.

- =* The barcode will not print onto a label that is too narrow. *

- =A five digit ZIP code barcode will fit on a 2½" wide label, a nine digit
- =ZIP code barcode will fit on a 3" label, and an eleven digit ZIP code
- =barcode requires a label at least 3½" wide. The barcode will also print
- =onto the addressee portion of envelopes and postcards. This barcode will
- =print with all of the printers that are supported by QLABELS. If you are
- =using ~Generic~ for your printer then Q_LABELS will not try to print a bar
- =code. You must select an approiate printer driver from the list.
- =Most graphic printers that use IBM (tm) or EPSON (tm) emulation should work
- =just fine.

- =The ZIP field can hold up to 11 digits. This is for the new DPBC (Delivery
- =Point Bar Code) being used by the US Postal Service. If you know and use
- =your ZIP + 4 on your correspondence then this is all you will need at this
- =time. The DPBC is primarily used internally by the USPS and by bulk
- =mailers who need a discount on postage and faster delivery for large
- =mailings.

- =If you are not sure how to figure the last two numbers for this option then
- =consult your local post office. The Postal Service's DMM (Domestic Mail
- =Manual) lists several examples and rules. Ask for a copy of the section

- =This acronym stands for Delivery Point Bar Code. The ZIP code has evolved
- =from five numbers to eleven. These eleven numbers will speed your mail to
- =you by allowing the new Bar Code Sorters to ~sort~ your mail in ~delivery
- =sequence~. No longer will your letter carrier have to sort your mail into
- =a case by hand, it will already be bundled for delivery right to your door.

- =How do I determine the last two digits?

- =The Postal Service's DMM (Domestic Mail Manual) lists several examples and
- =rules. Contact your local USPS for a copy of the section on "Barcoded
- =Mailpieces" for the latest information.

- =If a defined label size you need is not available from the print menu,
- =you can use this routine to design up to 20 custom sizes. All labels are
- =edited and printed from the label form which can accept up to 60 characters
- =across and up to 14 lines of text. Use up to these maximum values when
- =designing your labels to print with.
- =
- =Using the maximum of 60 characters and 14 lines would create a label
- =6" wide by 2½" high.
- =
- =When you use the ~Create Label Definitions~ option from the main menu you
- =will first be presented with a list of twenty files to choose from. These
- =files will hold the values you will enter. If any file has already been
- =used it will have a check (√) beside it. After selecting a file, you will
- =be presented with a form that will accept your values. There are six
- =steps to designing your own labels.

- = Step 1
- = ──────
- =The first option will be for a description of the new label. You must
- =enter a description, this is what will show up in the print menu!
- =Example: Suppose you create a label that uses 3 printable lines, is
- =2 1/2" wide (25 chars), and is 3 labels across. You might enter a
- =description like this, 2 1/2" x 3 lines by 3. Use a description that
- =helps you remember the size of the label you created.

- = Step 2

- =The next item will be the ~width~ of your label. This will be the maximum
- =number of characters that your label can hold and is based on 10 char-
- =acters per inch, i.e. if your label is 2 1/2~ wide then enter a 25 here
- =(2.5 x 10).

- =Next enter the maximum number of lines that your label could print. A
- =15/16~ high label can print 5 lines, a 1~ can print 6 lines. Even if you
- =don't plan to type text in all of the lines, make sure you enter the

- =This last value is expressed in tenths of an inch and is the number of

- =If you use double-wide printing on labels with more than 1 across, keep the
- =width of your designed label in even numbers. The total number of labels
- =across (times) the width, plus the total number of spaces between labels
- =can not be more than the actual width of your paper. When printing labels
- =that are more than 1 across the number of labels to print (in the label
- =form) refers to each row of labels. If you have three across then each row
- =of will print the same information.

- = ▄ Installing Your Printer

- = If you haven't already done so, from the ~Tools~ menu choose
- =~Select Printer~. You will be presented a list of the available printers
- =If your printer is not in the list then select the one that most closely
- =resembles yours. Try it and see how it prints, if it does o.k. then use
- =it. If it does not do like you want then try selecting ~EPSON~ or ~IBM~ as
- =a lot of printers use the same commands. Since Q_LABELS uses only the most
- =common commands for text styles, one of these will probably work for you.

- =If you have a Laserjet 4 (tm) compatible laser printer then choose the
- =Brother HL-665 printer driver. Check your printer users guide to see if
- =it supports the Laserjet 4 printer language.

- =Lastly if all else fails select ~Generic~ from the list and Q_LABELS will
